BOARD OF TRUSTEES MEETING MINUTES
TUESDAY, NOVEMBER 15, 2011
ATTENDANCE: Library Trustees: Gordon Doig, Mari Johnston-Hamm, Leone Michalec,Steve Hicks, Elton Lee

The meeting was called to order at 6:00 p.m. at the Meagher County City Library.
October 17, 2011 meeting minutes stand approved as presented.
It was moved by Steve and seconded by Leone and unanimously carried to approve bills as presented for payment.
Library Sign Update
Addition of a lower sign to display hours was discussed. Elton agreed to check with Logan Pierce on plasma cutting the hours. A light backing, perhaps 1/8” white shower fiberglass with a 1/16-inch spacer to prevent rust was suggested. Debbie will ask Kim Hamm to provide further information on a display case which could be mounted to the glass adjacent to the front library entrance door on the right.
Backroom Shelving Update
Elton has started construction of the backroom shelving unit.
Library Foundation Update
Gordon shared the recent letter from the Internal Revenue Service. 501(c)3 status may be determined in the next 90 days.
Donald W. Johnston Memorial Library Fund Foundation Expenditure
Meagher County Treasurer Sue Phelan requests the library board provide a written letter authorizing the $400 transfer from the Donald W. Johnston fund to pay the application fee required to submit Form 1023. .
It was moved by Leone and seconded by Steve and unanimously carried to write a letter addressed to Sue Phelan authorizing $400 be taken from the Donald W. Johnston fund to pay the application fee for Form 1023.
Library Holiday Closure
It was moved by Leone and seconded by Elton and unanimously carried to close the library Friday, November 25 and Friday, December 23 and, if we cannot find coverage, close the library Tuesday, December 27.
Library Volunteers
Debbie discussed coverage of the circulation desk and operation of the library in her absence suggesting a “substitute list” be created with name and contact information for qualified individuals willing to operate the library similar to how a substitute fills in for a teacher at the school in their absence. These individuals would receive basic training in check in/checkout of material, answering the phone, shelving material and computer scheduling and would be paid on an as-needed basis. Current library volunteer Alana Mueller-Brunckhorst’s availability was discussed. Also discussed was the county’s reduction of 2220.000.248.460110.112 part-time/short-term wages in the current budget and also part-time versus short-term worker hiring options.
It was moved by Elton and seconded by Leone and unanimously carried hired library short-term worker(s) will be paid $8.00 per hour the remainder of this fiscal year subject to availability of funding.
MontanaLibrary2Go
Joining MontanaLibrary2Go was discussed. There are currently 60 Montana libraries participating in this program. Kindle books, Adobe EPUB eBooks, Adobe PDF eBooks, OverDrive WMA audiobooks and OverDrive MP3 Audiobooks can be downloaded from the MontanaLibrary2Go website. To checkout and download an individual needs a valid library card, internet access, a computer or device that meets the system requirements for the type(s) of materials they wish to download, and free software for the computer or device on which they are downloading material. The Montana State Library is in the 15th phase of adding new libraries. Amazon just released download of material from MontanaLibrary2Go onto the Amazon Kindle and Debbie is being asked by individuals if the library will have this technology available. There are four grants available to rural libraries from the Steele-Reese Foundation and application must be made to the Great Falls Public Library by December 15. The grant covers the one-time $1500 application fee required to join MontanaLibrary2Go.
It was moved by Leone and seconded by Steve the library move forward with joining MontanaLibrary2Go authorizing Debbie to apply for the Great Falls Public Library Steele-Reese Foundation grant. Elton was the sole dissenting vote to this motion.
Library Board Volunteers/Worker’s Compensation
It was moved by Leone and seconded by Steve and unanimously carried all library maintenance volunteers will be required to turn in their hours.
Librarian Report
Debbie provided copies of the Librarian Report, which is on file at the library.
Date of Next Meeting
The next board meeting is scheduled for December 13, 2011 at 6:00 p.m. at the library.
There being no further business to discuss, it was moved by Leone and seconded by Steve and unanimously carried to adjourn the meeting at 7:10 p.m.
