BOARD OF TRUSTEES MEETING MINUTES
TUESDAY, MARCH 13, 2012
ATTENDANCE: Library Trustees: Gordon Doig, Leone Michalec, Steve Hicks, Mari Johnston-Hamm, Elton Lee
Library Director: Debbie Benedict
The meeting was called to order at 6:00 p.m. at the Meagher County City Library.
It was moved by Steve and seconded by Leone and unanimously carried to approve February 21, 2012 meeting minutes with the following correction: “Mari Johnston-Hamm has only served one term and is eligible for re-election.”
It was moved by Steve and seconded by Elton and unanimously carried to approve bills as presented for payment.
Canon Copier Payment
The library depreciation fund was discussed. Gordon and Leone will visit with county commissioners about using money in this fund to pay for the Canon copier.
Library Board Vacancy
An apology was made to Mari concerning her library board term. Mari is eligible to serve another 5-year term; however, she will resign her position. A newspaper ad will be placed in the Meagher County News announcing the vacancy with instruction on how to apply.
Harlowton Bill for Sign Material
Materials for the sign cost approximately $280.00. Logan will ask his shop teacher, Mr. Holmes, to send the library a bill. Posts from the former sign need to be removed. Gordon offered to help Elton with removal.
Library Foundation Update
A checking and savings account for the tax-exempt Meagher County Library Foundation will be opened at Dutton State Bank. An initial planning meeting with Livingston architect Candace Miller and others interested in the library building project is scheduled for April 13, 7:00 p.m. at the library. Legal structure is in place to accept gifts of all types (stocks, annuities, etc.). An ad will be placed in the Meagher County News outlining how gifts can be given to the Foundation.
Transfer of City Funds to Library Depreciation Fund
It was moved by Leone and seconded by Steve and unanimously carried to transfer city funds totaling $4603.84 paid late in FY2011 to the library depreciation reserve fund.
Vehicle, Equipment and Building Inventory
The library reviewed and discussed the county’s evaluation of the library building.
It was moved by Elton and seconded by Leone and unanimously carried to accept county figures as presented in the evaluation.
Summer Library Staffing
Plans for summer library staff were discussed with board concurrence to hire staff as needed.
Spring Computer Maintenance Visit
Computer needs were discussed. Jim Semmelroth will be asked to provide a quote for replacement of two office computers, laptop, and an additional machine in the computer room.
Friends of the Library Report
Each board member was provided a copy of the Friends of the Library report.
Training Update
Debbie plans to attend the Summer Institute for Public Library Directors at Carroll College June 5-8, 2012 in lieu of going to the Montana Library Association Conference April 11-14 in Big Sky.
Librarian Report
Debbie provided copies of the Librarian Report, which is on file at the library.
Date of Next Meeting
The next board meeting is scheduled for April 10, 2012, 6:00 p.m. at the library.
