BOARD OF TRUSTEES MEETING MINUTES
TUESDAY, JUNE 11, 2013
ATTENDANCE: Library Trustees: Gordon Doig, Leone Michalec, Steve Hicks, Elton Lee,

The meeting was called to order at 6:00 p.m. at the Meagher County City Library.
It was moved by Steve, seconded by Elton, and unanimously carried to approve May 20, 2013 meeting minutes as presented.
It was moved by Leone, seconded by Gretchen, and unanimously carried to approve bills as presented for payment.
Janitor Closet/Office Ventilation
Ice Berg Construction submitted a bid to install 2 windows 14”x29.5” on April 24. Paul Kroeger Construction submitted a bid to install a fresh air inlet and exhaust fan surface mounted on ceiling with timer on June 7. Discussion of cost to remedy the intermittent damp/musty smell in the janitor closet/office area included considering how long before a new library is constructed and whether one small window would suffice. The two issues are: 1) venting the janitor closet and 2) bringing fresh outside air into the office. Paul gave Elton a sample of a plastic sewer gasket that is able to prevent sewer gas coming through a pipe into a building, which was shown to the board. An additional bid for the project will be obtained. Because the project needs to be completed and invoiced no later than June 30 to use FY12/13 funding, it was decided to pay for the project with FY13/14 funding.
It was moved by Leone, seconded by Gretchen, and unanimously carried to obtain a third project bid, which Elton will coordinate.
Methane Gas Detector
Methane gas detectors recommended by State and USFS officials cost in the $300-500.00 price range. The board moved at the May 20 meeting to not exceed $200 for purchase of a methane detector. Steve has a methane gas detector which detects 50ppm or greater but provides no digital readout. He zeroed his instrument and checked drains and did not detect methane gas. Steve offered and agreed to be on call and bring his instrument to the library if and when a sewer smell is noticeable and/or of concern and Nancy will do this if he is not in town. This decision was made in lieu of purchasing a methane gas detector.
FY13/14 Budget – Discuss Priorities
Leone provided a budget update. The budget committee will meet June 25, 10:00 a.m. at the library. Debbie will prepare and post meeting notices.
Water Faucet Repair
The outside water faucet handle cannot make the connection to turn water on. The board will look at the situation following the meeting to determine if they can repair the handle in lieu of spending $200 which was quoted to Melinda as an estimated cost of repair. Melinda’s volunteer landscaping effort is important and the board will try to support making her watering task easier.
Public Library Standards
Debbie provided a reminder, in order to meet Public Library Standards, the board reviews, updates, and adopts as necessary all library policies at least once every three years and this task will need to be completed by June 2014 to remain in compliance.
Appoint Library Board Member (June 2013-2018)
Leone’s board term expires June 30, 2013. The board expressed how much they cherish Leone being on the board and would appreciate her remaining on the board.
It was moved by Gretchen, seconded by Elton, and unanimously carried to recommend Leone for reappointment to the library board serving July 1, 2013 through June 30, 2018.
Holly Manneck’s Painting “The Old Ringling House”
October 2011 Holly donated a 50”x60” painting titled “The Old Ringling House” to the library. Ben Hurwitz has offered to display the painting in the court room at the courthouse and the library will retain ownership.
It was moved by Leone, seconded by Gretchen, and unanimously carried to label the backside of the painting stating it is the property of the Meagher County City Library and loan it for display at the courthouse.
Librarian Report
Debbie provided copies of the Librarian Report, which is on file at the library. Elton was asked the possibility of adding two shelves to the existing bookshelf in the young adult area to which he agreed.
Date of Next Meeting
The next meeting is scheduled for July 9, 2013, 6:00 p.m. at the library.
There being no further business to discuss, it was moved by Elton, seconded by Steve, and unanimously carried to adjourn the meeting at 7:10 p.m.
